Executive Assistant
Office Staff - Schaumburg , Illinois
Executive Assistant will work directly with the Partners and will be responsible for performing a number of administrative duties. The Ideal Candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment. Ultimately, this role will contribute to the efficiency of our business by providing personalized and timely support.
Specific responsibilities include but are not limited to:
§ Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments
§ Answer and screen calls to forward to the appropriate person to resolve request
§ Schedule client meetings, logistics and order food or beverages if needed
§ Ensure the Partner is prepared to provide personalized touch to clients
§ Greet visitors
§ Work with the Engagement Department to manage business related after hours events
§ Open, sort, and distribute correspondence, including email, faxes, USPS mail and overnight deliveries
§ Read and analyze submissions, letters, agendas, memos and determining significance and route to appropriate personnel in a timely and efficient manner
§ Prepare reports, collect and analyze information; prepare presentations
§ Assist the Partners creation of case in the Client Management System (CRM)
§ Track and maintain Partners licensing and continuing education requirements
§ Maintain inventory and office supplies. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary
§ Data analysis; Proficient in Access, MS Word, Excel, Outlook. Perform filtering and sorting of data, V-lookup and other functions
§ Coordinate finances, assist with budget preparation and quarterly tax payments for State and Federal.
§ Prepare executive responses to routine memos, letters, or correspondence
§ Provide support to other departments when required. Delegate tasks and responsibilities to other staff members when appropriate

Minimum Requirements:
§ 3+ years executive assistance
§ Advanced MS Office experience
